Privacy Policy
How WIOS collects, uses and protects personal data, and the choices and rights you have.
1. Who we are
WIOS (wios.app) is operated by Alexis FZC LLC, CWS-1V-209596, 2nd Floor, Amber Gem Tower, Ajman, United Arab Emirates (Ajman Nuventures Centre Free Zone, licence no. 26229721888). We are the controller of the personal data described here. Our free zone has no data protection law of its own, so we follow the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, “PDPL”). For any privacy question or request, email privacy@wios.app.
When an employer, recruitment agency or training provider uses WIOS to manage its own workforce or hiring, that organization decides how it uses the information it sees, and is responsible for it as controller; we process it on their behalf.
2. What we collect
- Account details: full name, email, mobile number, WhatsApp number (optional), password (stored only as a one-way hash), two-step sign-in settings, and your acceptance of these terms.
- Your professional profile (Experience DNA): work history, skills, education, certificates, courses, recommendations, projects, publications, events, businesses and other evidence you add, upload (for example a CV or a LinkedIn data export) or import.
- Organization data: for employers and partners, organization details, departments, business needs, roles, postings and decisions made in WIOS.
- Applications and sharing: the roles you apply to and the access you grant to organizations.
- Payments and invoices: billing name and address, plan, invoice records. Card details are entered only on PayPal's or Payoneer's pages; we never see or store them.
- Technical data: sign-in and security records (date, time, IP address), and an activity log of important actions.
- Webinar sign-ups: your name, email, role and (optionally) company, used only to send you the webinar details and reminders. Ask us anytime to remove them.
- Connected systems: if you connect a CRM or other service, the access it grants, stored encrypted.
Sensitive data. We do not ask for, and you don't need to give us, sensitive data such as religion, health, ethnic origin, biometric data or criminal records. If a CV or document you upload contains such details, they are not used for scoring or matching. Please leave them out where you can.
3. Why we use it, and our legal bases
- To provide WIOS and your account, including capability scoring and matching (performing our contract with you).
- To keep accounts secure, prevent fraud and abuse, and keep an audit trail (our legitimate interests and legal obligations).
- To share your profile with an organization only when you allow it: when you apply, accept an employment link, or choose to be discoverable (your consent, which you can withdraw at any time).
- To bill subscriptions, issue invoices and keep tax and accounting records (legal obligations under UAE law).
- To send service and security messages. We send marketing only if you agree, and you can opt out at any time.
4. How automated scoring works
WIOS calculates a Capability Score and fit indicators from the evidence in a profile. Every score shows its components, explanations and limits. WIOS does not make hiring, promotion or dismissal decisions: a named person in the organization decides, and must record a reason. You can ask us to explain any score about you, to correct inaccurate data, to object to automated processing, and to have a person review any outcome that affects you.
5. Who we share it with
- Organizations you choose to share with, only for the purpose you agreed (an application, an employment link, or discovery).
- Service providers that help us run WIOS under contract and confidentiality: hosting, email delivery (Resend), payments (PayPal, Payoneer), accounting and CRM (Zoho), and, if configured, AI model providers used to draft text, which receive only what is needed and not for training their models.
- Authorities, when the law requires it.
We do not sell personal data.
6. International transfers
Our main server is in Germany (European Union), where the GDPR applies. Some providers may also process data outside the UAE. Where that happens, we rely on countries with adequate protection or on binding contracts that require the provider to protect the data to the same standard, as required by the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, for people in the EU/EEA or UK, the GDPR.
7. How long we keep it
- Your profile and account: while your account is open. When you delete your account, your profile, evidence and sharing are removed immediately; backups roll over within 35 days.
- Invoices and payment records: at least 5 years (or longer where tax law requires).
- Security and audit logs: up to 2 years.
8. Your rights
You can access, correct, download (portability), restrict or delete your personal data, object to certain processing, and withdraw consent. Most of this you can do yourself in Account & security (download your data, delete your account) and in your profile's privacy settings (revoke an organization's access). For anything else, email privacy@wios.app; we reply within 30 days. You may also complain to the UAE Data Office or, in the EU/EEA, your local data protection authority.
9. Security
Passwords are hashed with scrypt; sessions use secure, HTTP-only cookies; sensitive keys are encrypted at rest (AES-256-GCM); every change is protected against cross-site requests; two-step sign-in is available for every account; access by organizations is permission-based and logged. No system is perfectly secure, so please use a strong, unique password and turn on two-step sign-in.
If a personal data breach could put your privacy or security at risk, we will notify the UAE Data Office and tell you without undue delay, explaining what happened and what you can do.
10. Children
WIOS is for people aged 16 and over who are working or seeking work. We do not knowingly collect data from younger children.
11. Cookies
We use only the cookies needed to sign you in and keep WIOS secure. See our Cookie Notice.
12. Changes
If we make important changes, we will tell you by email or in WIOS before they take effect.
